{"id":238,"date":"2020-01-22T20:07:44","date_gmt":"2020-01-22T20:07:44","guid":{"rendered":"https:\/\/wordpressmu-1266771-5793343.cloudwaysapps.com\/offices-services\/information-technology-services\/?page_id=238"},"modified":"2022-12-15T16:59:18","modified_gmt":"2022-12-15T16:59:18","slug":"systems-maintenance","status":"publish","type":"page","link":"https:\/\/wordpressmu-1266771-5793343.cloudwaysapps.com\/offices-services\/information-technology-services\/policies-security\/systems-maintenance\/","title":{"rendered":"Systems Maintenance"},"content":{"rendered":"<p class=\"ms-rteElement-H3\"><strong>Information Technology Services: <\/strong>Associate Vice President for Information Technology<\/p>\n<p><strong>Last Revised:<\/strong>\u00a012\/16\/14<\/p>\n<p><strong>Title:<\/strong>\u00a0Change Management Policy<\/p>\n<p><strong>Applicable:<\/strong>\u00a0ITS Staff<\/p>\n<p><strong>Contacts:<\/strong>\u00a0IT Service Center ext. 3277<\/p>\n<p><strong>Background:<\/strong>\u00a0In order to better inform and prepare the campus community for routine maintenance of campus systems and the network, it has become necessary to create a reoccurring weekly maintenance period during which such changes will be made.<\/p>\n<p><strong>Policy:<\/strong>\u00a0Information Technology Services reserves Wednesday mornings from midnight to 7am, and Saturday mornings from 6am to 10am to perform system and network maintenance.<\/p>\n<p><strong>Guidelines:<\/strong><\/p>\n<ul>\n<li>The office of Information Technology Services reserves the following times each week for system and network maintenance:\n<ul>\n<li>Wednesday mornings from midnight to 7am; and<\/li>\n<li>Saturday mornings from 6am to 10am.<\/li>\n<\/ul>\n<\/li>\n<li>The Chief Information Officer must approve any planned service outage scheduled outside the weekly maintenance windows.<\/li>\n<li>Planned changes that may disrupt any campus information service must be documented with a Request for Change form (RFC). Requests to add a new service, or discontinue an existing service, also must be documented with an RFC, and appropriate change to the\u00a0<a title=\"ITS Service Catalog\" href=\"https:\/\/www2.furman.edu\/sites\/ITS\/Services\/Pages\/ServiceCatalog.aspx\">Service Catalog<\/a><\/li>\n<li>Any new program or change to a program that may change, or update, data in a financial application (e.g., accounts receivable, accounts payable, development, financial aid, general ledger, human resources, payroll, and student accounts) must be documented with a Request for Change form, and be approved by the ITS directors, the CIO, and the designated data steward (as defined in University Policy 071.11.)\u00a0 If the change request is approved, a programmer not involved in developing the change will review the changes and move the changes into production.<\/li>\n<li>Request for Change forms must document the following information regarding the proposed change:\n<ul>\n<li>change requester and contact information,<\/li>\n<li>date of the change request,<\/li>\n<li>staff assigned to make the change,<\/li>\n<li>justification for the change,<\/li>\n<li>affected equipment,<\/li>\n<li>services affected,<\/li>\n<li>start date of the change,<\/li>\n<li>time needed to complete the change, including time needed to revert a change if test procedures are not successful,<\/li>\n<li>tasks to perform as part of the change, and tests to ensure successful completion,<\/li>\n<li>a description of the restore plan if the change was not performed successfully, and<\/li>\n<li>the date of the last known reliable back-up made before the change.<\/li>\n<\/ul>\n<\/li>\n<li>New and completed RFCs, as well as changes to the Service Catalog, will be reviewed and approved at the weekly Information Technology Services directors\u2019 meeting.<\/li>\n<li>The members of the campus community that will be affected by the change must be notified prior to the change being executed.
